GM email: Last minute reminders - locations, badges, turning in tickets

Only days to go now, everyone, and the first thing I want to say is that things have been more than a little hectic lately. I have not been able to keep up with the events@gencon.com email address lately – if you are waiting for something urgent, please email or call me directly to confirm that it has been taken care of.

I will be flying to Indianapolis early Sunday morning and will hit the ground running, catching up on email and messages on-site. If you have a question or request that can wait until the show begins, please stop by GM HQ to talk to me about it. If it is urgent, however, please contact me directly.

    Event Locations

I would also like to apologize for the location confusion – due to a number of last-minute space conflicts many of you had to endure shuffling and re-shuffling of many of your games. You should have all gotten email notices with the locations of all of your events but you can also double-check everything in the online registration system. Please make sure to do so. Check the locations for all of your events before you leave for Indy and make sure that you have a record of that to bring with you. If you have any questions or concerns at all, please stop by GM HQ (or any event HQ) on site.

    GM Badges

If you haven’t gotten your badge requests in already (including everyone’s account number) we’ll have to take care of it on-site. Please stop by GM HQ on Wednesday afternoon and we’ll get things set up. Please be advised that any badges requested at this point may not be available right away on Wednesday. We will need time to not only process and print your badges – but also to hand out badges to everyone else who has already submitted their requests.

Checking for Badges in Your Games

Further, don’t forget that you are responsible for checking to make sure that both you and your players all have a badge before you accept their tickets. Just take a moment and get that out of the way before you begin – we don’t want to interrupt your game any more than you do.

If we find you running a game without a badge, we will record your information and require you to check in at GM HQ the following morning or we will cancel all of your remaining events over the weekend. You will not be welcome back to run events at Gen Con in the future.

If we find players in your game without a badge, we will record your information and remind you that you agreed to follow the event host policies when you submitted your event for our review. Players without a badge will be asked to go get their badge (or buy one if they haven’t already) and then allowed back into the game.

    Turn in your Event Tickets

Make sure to turn in all of your event tickets once your events have finished – even if you aren’t expecting a reimbursement for them. Space is going to get tighter and tighter over the next few years and we’ll be faced with some tough questions when it comes to placing events: Which GMs have followed the rules and how many players actually showed up for these games in the past?

Without actual ticket counts to back that up, it may be more difficult – or even impossible – to try to place your events where you might want them.

So be kind; turn in all your tickets (in properly completely ticket envelopes).

    Any Other Questions/Problems?

If you have any other questions or problems, please let me know sooner rather than later. Make sure to stop by GM HQ to follow up and make sure everything has been taken care of.

Don’t hesitate to give me a call directly on my cell phone if you need something, but try to check in with the local event HQ to see if they can the situation for you.

And if you see me in the hallways (shouldn’t be hard – I’ll be the only one wearing a staff shirt and sporting a bright, blonde Mohawk) grab my sleeve and say hi.

Thanks everyone – really, thank you all for running events at Gen Con and making so much fun for everyone who attends. I really appreciate everything that you do for us at the show.

Thanks again, and I hope I’ll be seeing you in just a few days now!
