    Filling Room Slots

The friend I'm supposed to be sharing a hotel room with at GenCon is sounding kind of wishy-washy about going, and I'm not sure I want to wait til mid-July to try and fill his place if he backs out. Does anybody who has filled an extra bed in a hotel room before at GenCon have any advice on the best way to go about it (after posting a "Roommate Needed" thread on here, of course.)?

    Re: Filling Room Slots

The quickest way IS posting a "Roomie Needed" thread.  Other sugestions would be checking with local gaming groups in your area to see if anyone would like to share a room.  On the flip side I have a friend who may need a room but I suggest finding out from your "friend" if he is going before offering a bed that you might not have open.

    Re: Filling Room Slots

That's not really what I meant. What I'm asking, is those on the board who have had slots come up in their rooms that they needed to fill....after posting a roommate needed thread and finding somebody, how did you work out the nuts and bolts of money? Did you make the room filler pay in cash up front, etc?

I personally would make sure I have enough to cover that part of the room and if the other person does not have the money at check-in they would not have a room.

If you can read this you are to close so back off.

    Re: Filling Room Slots

I remember seeing threads on this last year. I think you can put multiple credit cards down for payment at most, if not all, hotels and they will split the costs for you. You also could get cash from the other person (I would recommend a cash holding at the beginning) and be careful of extra charges either (any / all) of you could incur such as phone, room service or mini-bar. I would make certain you had all these nuts and bolts nailed down before he (she) moves their stuff in, and I would make sure you could foot the bill on your own if necessary. If you find you are incompatible or they are looking to freeload... end the deal right then and there before it gets worse.

This could end up expensive if you don't cover your back. If you want to get all legaleze.. write up a quick agreement and both of you sign it with a witness as to the conditions...

eg: no late parties, no heavy cologne, no smoking in the room (I think Indy still allows for smoking), pay half of all bills, etc, etc.

"It was good of you to think of that," said Tanis. "None of the rest of us did."
"You're busy thinking big things," said Tas. "I keep track of the small stuff."

    Re: Filling Room Slots

I would definitely recommend getting the cash upfront, and immediately go down, and put it on the room. That way you yourself aren't tempted to use it for other things.

We did that last year with forum folks, and it worked wonderfully.

The year before we went with friends, and waited until the end, which turned out not so cool. Some miscommunication, and other things, and...get the funds at checkin, definitely. Make rules and shares clear before people make definite plans.

I'm not sure about Indy as a city, but I know several of the hotels are now completely non-smoking. The Westin is one, and I know there were fines for smoking in rooms at the Hilton.

Thanks, that all sounds like pretty good sense. And that's IF I have to fill a slot in the first place........

So, bumping and old thread here, but does anyone know for sure that multiple credit cards can be used for as single room, and the Hotel will split accordingly? My son and I are sharing a room at the Westin with a third person; I am paying for two-thirds the room (my son and I) and he is paying the other third. I'd suggested we could both use cards, like this post suggested, I just wanted to verify this before we show up and find out it's no go.

If no one knows offhand; could they suggest the best place to call/ask?

    Thanks folks.... can't wait....:)

You should really just call the hotel in question yourself to verify that; I think policies vary from hotel to hotel.

I believe I did this several years ago with the marriott.  Basically at check in have all parties present their cards and the front desk will charge the appropriate amount to each

Do you have room for two? I can take the floor, but my friend would prefer a bed. Please post the check-in datetime, dates you will be holding the room, and when you are planning to checkout. I can guarantee at least one of us (that would be me) is not backing out.
