    GM Badges and Event Registration

    Hi folks,

    Sorry for the newbish question, but this is only my second GenCon. I've submitted five 4-hour rpg events, which should put me over the 96 point limit for a GM badge. I submitted my events during the final round so I'm still waiting for their approval. However, I want to sign up for events during times when I'm not running something. Am I right in saying that I need to pre-reg and pay the $65.00 before I can sign up for events on April 20th? Does this mean that, once I complete and submit the GM badge request form, that A) I will receive my regular badge in the mail as last year, B) I still need to pick up my GM badge at the GM booth, and C) I will be reimbursed for my $65.00 sometime after GenCon, assuming I submit the event tickets I collected?

    Hi WJ, welcome to the boards!

    You will need to have a badge to pre-register for events. No need for a GM badge request though. As an independent GM you just purchase a regular badge as usual & submit for reimbursment after the Con. I'm referring you to the GM badge post further down in this sub-forum that includes some discussion on the process.

    You can refer to the EO/GM page and the EHP for full details, but basically if you're an indepent GM (i.e. not part of a gaming group or company) then you'll want to buy a regular attendee badge.

    On site, you will need to fill out your GM time sheet (and turn in your event tickets!) which you can then submit to recieve reimbursement for your badge after the show.

    So to get ready for event registration, just buy a badge when you have the chance and then before the show double-check everythign and stop by GM HQ on site to pick up a time sheet.

    Lemme know if you have any questions. 

    Oh, one more point of clarification, actually: you will not be receiving a separate GM badge. Everyone only gets one badge per person. You only need to stop by GM HQ to get your time sheet.

     Derek,

    If we ARE in a gaming group, have submitted our infor (2 weeks ago), but have yet to have the badges appear on our accounts, should we buy a badge and then get reimbursed?  We would like to register for games on the 20th.

     I'm still planning on processing the GM badge requsest before Sunday morning, so if it has been submitted and your account information is correct and your group has enough points to cover everyone, then you should be fine.

     If there's a problem, though, I obviously won't be able to add them.

    If you don't get an email about a badge being in your account by Saturday night, then just go ahead and buy a badge and I can refund you once your GM badges are sorted out.

     I've added GM badges for all groups I received a request form from. If you don't have a GM badge in your account now, either you're signing into the wrong account or your EO didn't send your name to me Smile

    Derek,

    That's not entirely true. I sent you my group's form, as EO, and they don't have their badges in their accounts. I confirmed the ID #s in the form with the ID #s that show up  upon login and there's none in place. :-(

     Ok how do I know when my badge has been converted to a GM badge?  My EO( company employee) sets up the accounts and he sends the names to Derek Guder the Mr Guder adds them to our accounts, I am assuming from what I have been told. Being that we are past a few days time frame do I need to contact my EO so he knows there is a problem. I am kinda lost with the situation.

     The_mailman, slow down a bit. You just posted your question in the CS forum and I answered it there, and I also explained that I was out of town for the past few days and RPGA event registration went live on Sunday, so I haven't been able to process GM badges.

     When a GM badge is added to an account, an email is set to the email address in that account letting you know it's there and explaining how to get a refund (i.e. emailing me to ask for it).

    If your event organizer did not follow the proper procedure and either did not ask you for your correct account information or simple set up a whole new acount for you, then yes, you'll need to contact them directly.

    If you already bought a badge that you want a refund for, that is the account number the EO should have submitted for you (and you must have the login information, so go in and check your eamil address). If not, contact the EO to figure out what the situation is - and correct your account number if necessary.

     This post just showed up on our local game group's bulleting board from one of our GM's:

     "I was signing up last night for my gen con events.  Then i looked at
    the ones we are hosting, i believe a few of the games are now full. My
    games i have 3 slots left in the 8am thursday game and 9 slots left at
    the 1pm game on thursday, and all 10 left open for the 1pm game on
    friday.  I know its 66 days till the con, but what happens if i only
    get 1 or 2 people sign up?"

     We set minimums for the events, but what happens when fewer than the minimum sign up?  Will the event be cancelled?  Will we still get points towards our free badges?  I apologize in advance if this info is in the FAQs.

    The event will not be cancelled; you don't know how many people will show up at your table onsite.

    You get credit for what you signed up to run, not how many tickets you turn in.

     Two points:

    1. You get badge points based on what you submit, not how many players actually show up. We don't penalize GMs for players who don't show up.

    2. Gen Con doesn't force the cancellation of any event because enough people didn't show up for it. The GM, however, can decide to cancel the event if fewer than the minimum number of players show up. If you do that, you need to make sure to mark everyone's tickets so they can get appropriate refunds.
