Event Host Policy revised - version 8.1

    Event Host Policy revised - version 8.1

    A revised and slightly cleaned up event host policy has been posted (version 8.1).

    There aren't any earth-shattering changes, the biggest stuff is how you go about getting on-site ticket payment and how we will be calculating the number of GM hotel rooms LARPs are eligible for.

    Major Policy Changes

    GM Hotel Rooms

    The rules for calculating hotel reimbursement (and complimentary rooms) eligibility for LARPs have changed. Weekend-long LARPs (i.e. continuing over at least 3 days) receive rooms or reimbursement based on the number of players for the smallest night. Individual and one-shot LARPs operate just like any other event.

    If you request a room in the GM hotel block and want to reserve the room for more than the 3 nights covered by Gen Con or want to get more rooms than you are eligible for, you must provide a credit card just like you would booking the room directly online.

    Renting Event Space

    Rental rates for 2008 have been confirmed.

    ·Boardgame and card game tables are $108 per day or $432 for the weekend.

    ·Miniatures tables are $116 per day or $464 for the weekend.

    ·RPG tables are $200 per day or $800 for the weekend.

    Room rental rates are determined by how many tables can fit within it.

    Refer to the Contracted Event Space (aka Renting Event Space) section for more information.

    GM Rewards

     The GM rewards program is being re-worked for 2008 and beyond; the previous program has been canceled. Details will be announced in the coming months and data will begin to be tracked during the show in 2008.

    Policy & Process Clarifications

    The following policy and process clarifications are summaries.  Please see the corresponding sections in the Event Host Policy for the actual policies.

    Ticket Payments

    If you wish to receive on-site payment for your events, you must turn in your tickets to GM HQ within 24 hours of the end of each event (and in properly completed envelopes).

    Only one check will be issued for on-site payments.

    A/V Costs

    Use of A/V during seminars or other events will require a pro-rated rental fee.

    See the Layouts, Event Furnishings & Special Requests section for more information.

    Please take a minute to peruse the appropriate sections (if they apply to you).

    If anyone has any questions, concerns, comments, suggestions, or criticisms, please let me know earlier rather than later so I can work them out with you. Don't worry is something seems weird at first, don't worry - gimme a ring and we'll figure out what's up. Smile

    Nope, not yet. I'm finalizing the hotel forms right now, that'll be coming out soonish.

    Derek:  I just happened to wander across this thread.  I'm sure I'm either mis-reading this or this policy applies to game companies who are running demos or something.  The per RPG table cost of $800 for the weekend doesn't apply to individual GMs or Gaming Groups, does it?  As I write that I'm sure I must be wrong.  Otherwise Nascrag would owe you $20,000!

    Nope. The table cost thing is totally voluntary, even for companies.

    There is no charge (whether your an independent GM or a gaming group or a company) to run events at Gen Con - you just need to collect tickets.

    You have the option to rent the table outright, if you want (at the costs quoted). Doing so gives you certain benefits, like getting your own guaranteed space no one else will hold evnets in and the ability to either run events for free or keep 100% of the ticket price (Gen Con wouldn't take a cut of the ticket cost).

     

    This is no different from how it's been in the past, other than having the prices listed publicly in the document.
