New GM - Am I understanding things right?

    New GM - Am I understanding things right?

    This is my first year running events at GenCon, have a few questions.

     1.  Instead of having a 'GM Badge' the appropriate thing for me to do is simply request reimbursement for my normal badge?

     

    2.  How do I/should I get a GM badge for next year?

     

    3.  In addition to reimbursement for my badge, I am eligible for reimbursment of 25% of my hotel room costs, with the appropriate number of hours of events?

     

    4.  I need to stop by GM HQ to pick up the paperwork I need for running events.

     

    5.  A little while before my event begins I'm supposed to check in with the guy in charge of the gaming area to get directed to my table space for my event.

     

    6.  After the event I have the same guy sign my timesheet (which I picked up from GM HQ earlier?)

     

    7.  I have to turn in all the tickets from my event attendees to GM HQ before 5:00 Sunday, along with timesheets and filled out envelopes.

     

    8.  If I charge extra money for an event there is a form I have to complete to request reimbursement for that as well.

     

    Does that pretty much cover it?  Am I missing anything?

    BGGuy's right, you're pretty much spot on, and you should read the document he references, but let me address two things:

    #2.  I think you're meaning you want an up front complimentary badge instead of a reimbursed one, right?  Generally, those are only given to gaming groups, not individual GMs.

     

    #8. You CANNOT charge cash on site for your events.  Hopefully when you submitted your events, you requested an additional fee if you needed to, over and above the standard Gen Con fee; that will be sent to you via check after the show.  You can't at this point add a cost to your events, or charge people for your events on site.

    Yeah, I'd read the policy.  Its just that its organized by topic.  There isn't a consolidated step by step guide of what a new GM needs to know as far as running games.  You kinda have to pull it together from all the various topics.  So I just wanted to make sure I had captured what I needed to do.

     Not sure I understand.  Gaming groups?  Are these official organizations or just me and a bunch of my friends?  Is there a difference between the kinds of events they are expected to run vs. the kind I run?  Just curious really. . .

     Don't worry, I wasn't thinking about charging cash on site.  I'm just already plotting for next year, and I've got some ideas in mind that might involve some significant expense, so I was thinking about charging an extra couple bucks per player to try to offset it a little.

    They are groups, like those you might see on this website, like BYOV. Rogue Judges, and Nascrag; they are simply groups of GMs that band together to run events.  They usually have one point of contact with Gen Con that handles all badge requests and housing issues, etc.

    That's completely fine to add pricing to your event; it's just a box that you add your additional price to, in the event submission form, and then a box for the address the check should be sent to.

    You've pretty much got it right, yeah, but to address your specific points:

    1. This close to the show, you should simply submit for reimbursement after the con. Also, if you are an individual, independent GM, yes.
    2. Next year, you should probably do the same thing, unless you are part of a gaming group or company. And to answer your later question about this, a gaming group is as formal as you want to make it. You don't need to register it or anything, you just need to submit all your events under one group name (and have your friends do the same). Basically, a "gaming group" is just technically a group of GMs who submit their events to Gen Con under one group name and provide me with a single point of contact to coordinate with. It's best to have one person submit everything for the group.
    3. Yes, with 32 hours worth of events, are you eligible for 1/4 reimbursement for your hotel room for 3 nights.
    4. GM HQ will have any paperwork you need and be able to help you with any questions.
    5. Yes, you should check in with the local event HQ shortly before your event. You shoudl already know where your event should be (by checking online) but you want to make sure it hasn't moved or there aren't any problems - and to confirm with the HQ so that they know you're hear in case a player comes to report they can't find you.
    6. After your event concludes, return to the local HQ to get a volunteer to sign your time sheet to confirm it went smoothly. Even if no players show up, you should still have the HQ staff sign your sheet.
    7. You should absolutely turn in all of your tickets in properly filled out envelopes. That's how we know how many people actually showed up to your game.
    8. If you increased the price of your event, you should submit the ticket payment request form and (more importantly) you need to let GM HQ know that you expect payment when turning in your tickets.
